What I look for in coaching software (now that I've built one)

When you're picking an online coach, the coach matters most. But the software they use shapes the relationship more than people realize. Here's the checklist.

When you're picking an online coach, the coach matters most. The relationship, their methodology, how they communicate. That's the bulk of the value. But the software they use shapes the relationship more than people realize, and once you've felt the difference between good tooling and bad tooling, you can't un-feel it.

Here's the checklist I'd run through if I were hiring a coach today.

1. Where does the program live?

PDF? Google Doc? Notion page? Or a real platform? PDFs are dead artifacts. You can't log against them, and any change means a new file. The current "source of truth" drifts every week. Look for platforms where the program is the system of record and your logged sessions are captured against it.

2. How are check-ins handled?

Are check-ins scattered across a long chat thread, or anchored to a specific week of the program? The latter means context is preserved automatically. Six months in, you should be able to look at any given week and see the program, the logged sessions, the check-in, and your coach's response, together in one place, without scrolling through a thousand messages.

3. Can your coach see your nutrition in context?

If nutrition lives in MyFitnessPal and your coach has to ask for screenshots, that's permanent friction. Both halves should be visible in the same place. A great coach can spot a pattern (high RPE on training days you under-ate the day before, for example) only if the data is actually together.

4. What does progress look like over months?

A platform that shows last session is fine. A platform that shows you six months of strength curves, body composition trend, and adherence is what actually changes how you train. Ask to see the progress view before you sign up. If the answer is "I send a spreadsheet quarterly," that's a flag.

5. Is messaging context-aware?

Generic chat is fine. Chat that knows what session you just finished, what weight you logged, what week of the block you're in. That's different. It changes the kind of question your coach can answer without you having to re-explain the setup every time.

6. Billing

Boring, but: friction here erodes the relationship over time. Manual invoices, bank transfers, and "remind me when next month starts" are all signs that the platform isn't doing its job. You'd be amazed how much resentment a clunky payment process builds up over a year.

The honest caveat

A great coach with bad software still beats a mediocre coach with great software. Don't pick a coach based on their tooling alone. But all else equal, the platform decides how much friction is in your week, and over a year, that compounds.

If you're an athlete: use this list to evaluate before you commit. If you're a coach: ask yourself whether your current setup makes you look as good as you actually are. There's a chance it doesn't, and the fix is closer than you think.
