Check-ins are the heartbeat of online coaching: they are where drift shows up before it becomes a plateau, and where clients feel coached between sessions. Most check-ins underdeliver for a boring reason, they are unstructured, so the answers cannot be compared week to week.

What a weekly check-in needs to capture

The goal is a complete picture in five minutes of client effort. Six items cover it:

  • Body weight, taken under the same conditions each time, for the trend
  • Progress photos in consistent lighting, poses, and clothing
  • Training adherence: sessions completed and how hard they felt
  • Nutrition adherence: how closely the week matched the targets
  • Sleep, stress, and energy on simple 1-to-5 scales
  • One win from the week and one open question for the coach

Keep the questions identical every week

The value of a check-in is the comparison, not the snapshot. A 3-out-of-5 for energy means little on its own and a lot as the third decline in a row. Changing the questions resets the baseline and throws that signal away, so lock the structure and resist the urge to tinker.

Review in minutes, not hours

Read the trend before the week: weight direction against the goal first, photos second, subjective scores third, and the client's own words last. Most weeks the review confirms the plan and the reply takes two minutes.

Send feedback as a voice note. It is faster than typing, it carries tone, and clients consistently rate it as feeling more coached than a paragraph of text.

The red flags worth acting on

Four patterns justify changing the plan or the conversation:

  • Weight trend moving against the goal for two or more consecutive weeks
  • Training adherence dropping below roughly 80% of prescribed sessions
  • Sleep or stress scores declining for two straight weeks
  • A skipped check-in, the single strongest early churn signal there is

Should every check-in include photos?

For physique-focused clients, yes, under consistent conditions. For performance or habit-focused clients, every second week is usually enough; the weight trend and adherence carry the signal in between.
